Turn conversations into qualified leads without interrogating visitors

Design lead capture around intent, timing, and consent so Chatty helps sales instead of turning every conversation into a form.

A chatbot can ask for a name, email, company size, budget, timeline, role, use case, and phone number in under a minute. That does not mean it should. The fastest way to reduce lead quality is to turn a helpful conversation into an unexpected intake form.

Lead capture works better when it follows value. Let Chatty answer the visitor’s question first, recognize buying intent, and ask only for the information needed for the next step.

Define the handoff threshold

Write down what qualifies a conversation for sales attention. For example:

  • The visitor asks about implementation for a real project
  • They compare plans or procurement requirements
  • They request a demo or migration discussion
  • They mention a timeline or active evaluation
  • They need a capability that requires a technical conversation

Do not use “the visitor said something positive” as a qualification rule. Interest is not the same as readiness.

Capture context before contact details

An email address without context is a weak lead. A short summary of the visitor’s problem is useful. Chatty can confirm the summary before sending it onward:

It sounds like you need a multilingual support assistant for a documentation site, with a human handoff for billing questions. Is that right?

Once the visitor confirms, ask for the smallest next-step detail:

Where should our team send the implementation notes?

This sequence feels like a continuation of the conversation rather than a form appearing at the end.

Use progressive profiling

Collect information in stages:

StageAsk forWhy
First answerNothingEarn trust and solve the immediate question
Clear buying signalEmail or preferred contactEnable follow-up
Sales handoffUse case and timelineRoute to the right person
Qualified meetingCompany and role, if neededPrepare the conversation

If a visitor only wants a documentation answer, do not force them through sales qualification. The interaction still created value and may build future intent.

Give the visitor control

Consent should be clear and specific. Explain what will happen:

Share your email if you would like a member of the team to reply. We will use it for this request and will not subscribe you to marketing without your permission.

If the visitor declines, continue helping. A refusal to share contact details is not a reason to degrade the support experience.

Route with useful fields

Your inbox should receive structured context, not a transcript dump. A compact handoff can include:

Intent: Evaluate Chatty for a documentation site
Use case: Multilingual product support and lead capture
Timeline: This quarter
Requirements: Human handoff for billing questions
Contact: visitor@example.com
Summary confirmed by visitor: Yes

Keep the full transcript available for the team, but make the summary the default view. It helps a human respond quickly without making the visitor repeat themselves.

Avoid accidental promises

Sales handoffs often fail when the assistant promises a response time, discount, integration, or security commitment that nobody approved. Put boundaries in the knowledge base:

  • What Chatty may say about pricing
  • Which discounts require approval
  • The supported response-time range
  • What counts as a security or legal request
  • Which questions must go directly to a human

Specific boundaries create a better experience than a vague instruction to “be careful.”

Measure quality, not just volume

Track:

  • Conversation-to-contact rate
  • Contact-to-meeting rate
  • Percentage of handoffs accepted by sales
  • Time to first human response
  • Duplicate or low-context leads
  • Visitor satisfaction after handoff

A lower capture rate can be a success if the leads are more relevant and the sales team can act on them. Optimize for qualified progress, not the largest possible database.
